Primary Purpose of Organizational Unit

The Department of Earth and Ocean Sciences ( https://uncw.edu/earsci/ )offers the following degrees: B.S. in Geology and Oceanography,M.S. and B.A. in Geosciences, B.A. in Geography and GeospatialScience, and a Graduate Certificate in Geographic InformationScience.

The department maintains an outstanding record of research andscholarship and provides powerful undergraduate/graduate studentexperiences that include applied learning, field studies, andmentored research.

UNCW maintains a wide range of analytical facilities in support ofresearch including sedimentology, geospatial analysis, electronmicroscopy, stable isotope mass spectrometry, aqueous chemistry,NMR and DNA facilities, as well as a dive shop, machine shop, andinstrument shop at the UNCW Center for Marine Science ( https://uncw.edu/cms/ ).

College/School Information

The College of Science and Engineering ( CSE ) offers a variety ofprograms leading to Bachelor of Science and Master of Sciencedegrees, as well as Doctor of Philosophy degrees in applied coastaland ocean sciences; pharmaceutical chemistry; integrative,comparative, and marine biology; and psychology degrees. Thecollege also offers combined bachelor’s/master’s degree programs ininformation technology/computer science and information systems,computer science/computer science and information systems, and B.S.in mathematics/M.S. in mathematics. To implement its academicprograms, the college provides instruction and researchopportunities in the natural and behavioral sciences, informationtechnology, data science, computer science, mathematics,pre-engineering, and engineering. The eight academic departments inthe college provide courses of study in each of these areas, inaddition to interdepartmental programs in information technology,cybersecurity, and digital arts. A 2+2 in engineering; and 3+2programs in computer science and electrical or computerengineering; and physics and electrical engineering, are alsooffered in the college. Post-baccalaureate certificate programs inenvironmental studies, applied statistics, and geographicinformation science are also available.

CSE students work with distinguished faculty and scientists, usecutting edge technology, and conduct impactful research.Faculty-directed research projects empower CSE students to applywhat they learn inside the classroom and laboratory to real-worldsituations and prepares them for a variety of careers or advancedstudy.

Brief Summary of Work for this Position

This Administrative Associate position provides administrativesupport to the Department of Earth and Ocean Sciences. These dutiesinclude:

  • Process purchases, requisitions, honorariums, and independentcontractors including department and complex grant funding
  • Processes travel arrangements for faculty and students,including reconciliation and related budget tracking from complexstate, grant, and trust fund accounts
  • Reconcile purchases placed on purchase card
  • Manages instructional-related internal administrativeprocedures (class schedules) and coordinates with universityoffices when appropriate
  • Assists in maintaining the departmental budget and preparationof summary data reports
  • Process faculty internal and external grant funding and supportCSE Grant Administrator with tracking grant activity andbudgets
  • Support activities to recruit faculty, staff and studenthires
  • Enter assignments for student compensation from complex grantand trust funds
  • Maintain confidential records
  • Assist with various office matters including room scheduling,answering telephones and welcoming visitors, directing students todepartment resources, copying and preparing class materials,including coordination of book orders
  • Assist in the supervision of student workers in coordinationwith the department chair
  • Assist the department chair with various matters as theyarise
